Asset Maintenance has been overhauled to provide you with greater flexibility in the management of your repeating Automatic Asset Maintenance records. Previously, the system would require you to populate the required details and enter a frequency, for example:


Boiler Service

Every year 

For 10 years


With this function you were not able to change the date this falls on – such as bringing it forward or delaying the proposed date.


The new update provides the capability to:


Keep the date the same – so if you set the record up to be the 10th of September each year, the next record in the sequence will be 10/09/2023/


Amend date based upon the completed date – If you completed the record on a specific date and would like to keep this in line


Choose new date – using the date picker, you can choose a new date from the calendar and the next record will be set to the that chosen date.




How to set up Maintenance records?


Once you confirm the addition of this record, it will display the first in the sequence in your list. The record will then appear in your Job Request list as an automatic job request on the date have chosen for it to generate.



The process of completing an Automatic Job Request has not changed, however you will be given a set of options one you mark a record complete. 






This method applies to both desktop and web portal features. These are as follows:


Based on the Original Due Date:


This will keep the date the same, for example (31/08/2024)


Create a new date based on the date done:


If the date completed fell on 05/09/2023, you can choose this option to adjust the date to follow on for the next record in sequence.


Based on the Original Due Date:


Choose an entirely new date from the option below.



Web Portal:


All asset maintenance records will appear in the portal under the same list as Job Requests. Managers will be able to view all records, and Operatives will only see records assigned to them.



Completing a record follows the same format as completing one on the main desktop system. If the record has passed its checks, you can select “Passed”.


Based on the Original Due Date:

This will keep the date the same, for example (31/08/2024)


Create a new date based on the date done:

If the date completed fell on 05/09/2023, you can choose this option to adjust the date to follow on for the next record in sequence.


Based on the Original Due Date:

Choose an entirely new date from the option below. Once satisfied with your selection, just press “Ok” to confirm.
